When you nominate someone, we may collect:

• Their age or date of birth where this is necessary

• A delivery address where they have been selected to receive a gift

A nomination may occasionally contain sensitive information, such as details about somebody’s health, disability, racial or ethnic background, religion or sexual orientation. This is known as special category data and receives additional protection under data-protection law.

5. Our lawful reasons for using your information

Where a story contains special category data, we will only use it where we have an additional lawful condition. This will usually be the featured person’s explicit consent.

You may withdraw consent at any time by contacting us. Withdrawing consent will not make our earlier use of the information unlawful.

6. Nominations concerning another person

If you nominate another person, you must:

• Provide information that is true and accurate

• Tell them that you have submitted a nomination where it is safe and appropriate to do so

• Avoid sharing unnecessary private or sensitive information

• Have permission to provide any photographs or other material you submit

• Direct them to this Privacy Policy

Submitting a nomination does not automatically give Our Influencers permission to publish the nominee’s name, photograph or story. We will seek appropriate permission directly before featuring them publicly.

7. Photographs, videos and stories

We may ask selected Influencers to sign or otherwise confirm a media-consent agreement explaining:

• What content will be created

• Where it may be published

• Whether it may be edited

• How long we intend to use it

• Whether sponsors or media partners are involved

• How consent may be withdrawn

We will not knowingly publish somebody’s personal story, identifiable photograph or video solely because another person nominated them.

Content published online may be copied, downloaded or shared by other people outside our control. We will take reasonable steps to remove content from platforms we control when required, but we cannot guarantee the removal of copies held by third parties.

8. Children and young people

Anyone can be nominated, including a child or young person. However, we will take additional care when handling children’s information.

Before featuring a person under 18 or arranging a gift, we will normally obtain permission from their parent or legal guardian and, where appropriate, the agreement of the child.

We will not knowingly publish a child’s home address, school details or other information that could place them at risk.

9. Weekly gifts and delivery information

At the end of each week, an eligible Influencer may be selected at random to receive a gift.

We may contact the nominator initially, but we will obtain appropriate permission before using the selected Influencer’s photograph publicly or processing their delivery details.

A postal address collected for a gift will only be used to arrange delivery, resolve delivery problems and maintain any records we are legally required to keep. We may share the minimum necessary delivery information with a postal service, courier, retailer or gift provider.

If a gift is supplied by a sponsor, organisation or agency, we will not share the recipient’s address directly with that sponsor unless this is necessary and the recipient has been informed.

10. Who we may share information with

Where necessary, we may share limited personal information with:

• Website, form and hosting providers, including Squarespace

• Email, cloud-storage and administrative service providers

• Photographers, videographers, editors and production team members

• Postal services, couriers, retailers and gift providers

• Sponsors or partner organisations involved in a particular gift or feature

• Social-media and content-hosting platforms

• Professional advisers, insurers or legal representatives

• Regulators, law-enforcement agencies or safeguarding authorities where required

• Other suppliers that help us operate Our Influencers

We will only share information that is reasonably necessary and will not sell personal information.

Our intended retention periods are:

• Unsuccessful or incomplete nominations: up to 12 months

• Nominator contact information: up to 12 months after the nomination is concluded

• Gift-delivery addresses: up to three months after successful delivery, unless longer retention is legally required

• Consent and media-release records: for as long as the related content is used and for an appropriate period afterwards

• Published stories, photographs and videos: for as long as they remain relevant to Our Influencers, subject to consent and removal requests

• Complaints and removal-request records: normally up to three years after the matter is closed

• Marketing information: until consent is withdrawn or the information is no longer required

• Website analytics: according to the settings and retention periods of the relevant service

Information may be retained for longer where required by law or in connection with an actual or anticipated legal claim.
